Full Job Description
H&H is offering an exciting opportunity for a Project Administrator to join our New York City office. The Project Administrator will support the Project Manager in executing project plans and ensuring projects meet H&H quality standards while delivering on time and within budget.

Responsibilities
Coordination and Communication
- Help the project manager with administrative duties and processes
- Schedule internal and external meetings and keep minutes
- Alert the project manager to issues as they arise
- Act as point of contact for the project team and facilitate communication
- Collaborate on stakeholder presentations
Invoicing and Commercial Administration
- Assist PM with project planning and the development of monthly project invoices
- Assist PM with Vantagepoint resource planning and project submittal data entry
- Support PM in project progress tracking
- Support PM in development of monthly progress report and supporting documentations
- Support PM in development of monthly project invoices
- Develop contract change orders, time extensions and other commercial requests
- Support PM in development of subconsultant and subcontractor contracts and agreements
- Support Contract Administrator in execution of subconsultant and subcontractor contracts and agreements
Documentation and Record-Keeping
- Support project team leads on reporting for project completion and performance
- Support Contract Administrator in collection of Insurance Certificates and other documents from subconsultants and subcontractors
- Prepare and distribute project materials and submittals to clients
Quality Management Support
- Support project team in project Quality management system documentation and Quality Audit process
- Support Project Quality Lead in collection of quality management system documentation from subconsultants and subcontractors
- Coordinate with Quality Management team on project submittal dates and changes to project schedules
Requirements
- Minimum of Associate’s Degree in business administration or related field. Bachelor’s Degree in business administration or related field is a plus
- Excellent oral and written communication skills
- Excellent organizational and time management skills
- Working knowledge of project delivery process, flowcharts, meeting minutes
- Ability to develop a basic understanding of bridge and heavy infrastructure design delivery
- Ability to learn client-specific commercial requirements and procedures
- Understanding of applicable firm management and operating policies
- Computer literate with an ability to master advanced techniques and applications
- Strong proficiency in MS Office suite of applications and ability to learn other position specific software
- Excellent oral and written communication skills
- Excellent organizational and time management skills
- The employee must frequently lift and/or move up to ten pounds and occasionally lift and/or move up to 25 pounds
- The employee will perform the duties required in an office environment. Occasional trips to field sites may be required
- The employee is occasionally exposed to a variety of extreme conditions (heat, cold, dust, noise) at construction job sites
Benefits
Salary range— $50,000-$65,000 annually. Salary commensurate with experience.
