Full Job Description
Valley Fire Protection Systems, LLC is seeking an entry-level Administrative Support Specialist to join our dedicated team. This position is vital to ensuring that our operations run smoothly and efficiently. The Administrative Support Specialist will assist in a variety of administrative tasks, providing support to our staff and contributing to the overall productivity of the company.
Job Description:
- Support all members of our Indiana office.
- Handle all administrative duties for the office, such as but not limited to, answering phones, scheduling, and plotting job documents.
- Work with architects and municipalities to obtain project information such as CAD backgrounds and permits.
- Organize and represent Valley Fire Protection at trade and business events including display booths, materials and giveaways.
- Schedule visits and correspondence to new and existing customers.
- Review timesheets and submit to payroll.
- Coordinate employee activities.
- Submit engineering projects including document preparation, UPS labels, update job schedules, and copy project submittals to files, finance department, and sales.
- Assist accounting department with account collections by contacting customers verbally, in writing, and/or in person as assigned.
- Other miscellaneous duties as required.

Requirements
- High school diploma or equivalent, college degree a plus
- Valid driver’s license with reliable means of transportation a must
- Previous relevant support work experience
- Website and Social Media experience
- Experience with fire sprinkler systems and customer interaction a plus
