Are you an organized, motivated professional with exceptional administrative skills? We're looking for an Administrative Assistant to ensure the smooth operation of our department by managing clerical and administrative tasks with precision and efficiency.
Job Summary
As an Administrative Assistant, you’ll play a vital role in maintaining the daily operations of the department. Your responsibilities will include managing communication, organizing records, and providing administrative support to the Project Management Team and other departments.
Key Responsibilities
- Answer, screen, and transfer phone calls.
- Maintain office supplies and coordinate equipment maintenance (computers, printers, telephones).
- Distribute mail and schedule courier deliveries, including certified letters and FedEx Overnight Shipping.
- Organize and maintain electronic and physical filing systems.
- Retrieve information from records and documents to prepare data summaries.
- Keep the office directory updated.
- Provide administrative support to the Project Management Team and assist other departments as needed.
- Perform additional duties as assigned.
Requirements
Qualifications
Education & Experience
- Required: High School Diploma or equivalent.
- Preferred:
- Bilingual proficiency in Spanish.
- Prior administrative assistant experience (construction experience is a plus).
- Additional certifications or training are advantageous.
Skills
- Proficient in Microsoft Office 365.
- Strong organizational and time management skills.
- Detail-oriented with a high degree of accuracy in data entry.
- Ability to work independently and prioritize tasks effectively.
- Punctual, dependable, and motivated.
License/Certification
- Preferred: Valid Driver’s License.
